Vendor Participation Guidelines

PLEASE NOTE THAT NONE OF THE FOLLOWING ARE TO BE SOLD, DISPLAYED, DISTRIBUTED OR OTHERWISE PRESENT AT THE EVENT WITHOUT THE EXPRESS WRITTEN CONSENT OF ALBUQUERQUE PRIDE:   No vendors may sell or otherwise serve alcoholic beverages, soft drinks or bottled water of any kind at their booths without having received privileges from EXPO New Mexico (505) 265-EXPO (3976)/ 222-9700 or “Albuquerque Pride” (ABQ Pride).  Contact EXPO at:  http://www.exponm.com/en/facilities/.  Vendors found to be in violation of these rules will be asked to leave the premises, and there will be no refund of fees paid to (ABQ Pride) with no right to claims or damages.  Further, there are no third party sponsorships, generators or amplified sound at booths unless approved by ABQ Pride.

Event Schedule:
The ABQ PrideFest is a two-day event held on Friday, June 11th, from 6:00 p.m. to 10:00 p.m. and on Saturday, June 12th, from 10:30 a.m. to 8:30 p.m.

Set-Up:
Vendors will be allowed to enter Expo from San Pedro and are to follow signs to check in. (A map will be sent with registration information).  Friday, June 11, 2010, vendors can enter at the vendor entrance from 3:00 p.m. to 5:30 p.m. All vehicles must be off the street at 5:30 p.m. Gates will not be opened for exit until 8:00 p.m. Saturday, June 12, 2010, vendors can enter at the vendor entrance from 7:00 a.m. to 10:30 a.m. All vehicles must be off the street at 10:30 a.m. Gates will not be opened for exit until 8:00 p.m. Vehicles will only be allowed on the street at designated times.

Placement:
Priority for vendor spaces and preferred placement are available based on the date the fully paid application is received. ABQ Pride reserves the sole right to place vendors in any location that ABQ Pride deems appropriate due to logistical reasons. If special placement is needed because of ADA accommodation requirements, please contact ABQ Pride at PrideFest@ABQPride.com.

Insurance/Hold Harmless:
Albuquerque Pride, its agents, directors, assigns, volunteers, employees and/or committee members shall not be liable for any damages arising from personal injuries or property damage sustained by Participant in or about the premises and/or in connection with the Albuquerque Pride events.  Participant assumes full responsibility for any injuries or damages that may occur to Participant in or about the Premises while attending, assisting, or otherwise participating in the event. The Participant shall fully and forever release and discharge Albuquerque Pride and related Board of Directors, owners, employees, and agents from any and all claims, demands, damages, rights of action or causes of action, present or future, whether the same be known, anticipated or unanticipated, resulting from or arising out of any incident to the Participant while in attendance, assistance, or participation in the event.

All Vendors are requested to provide proof of insurance. It must be a Certificate of Insurance for General Liability in the amount of $1,000,000 (one million dollars) naming Albuquerque Pride, Inc. as an additional insured. Existing insurance policies are usually sufficient. If there are any questions, please call (505) 873-8084.  ABQ chooses to protect ABQ assets from any claim arising solely out of vendor activity regardless if they are for profit, non profit, selling product or providing information. Exhibitors who do this regularly usually have the insurance in place as a matter of business practice. Please consider going to www.casswood.com or printing and completing their insurance application form for additional information and a policy quote.

Vendor Types:

Business or Sales:  Includes, but is not limited to, vendors selling items, dispensing information or professional advice. This includes, but is not limited to, for-profit companies, government agencies, employee associations, and craft makers.

Community Info: (No Sales) Includes community-based, non-governmental, and not-for-profit organizations dispensing information.

Indoor: (Sales Ok) Includes, but is not limited to, vendors selling items, dispensing information or professional advice.  Includes community-based, non-governmental, and not-for-profit organizations dispensing information

Food/Drink Vendor: Food vendors are required to be located in an area designated by Albuquerque Pride/Expo NM. No exceptions will be made to this rule.

Booth Space:
Vendor spaces are rented out in 20’ x 20’, 12’ x 12’, and 8’x 8’.  Albuquerque Pride only provides the space. The vendors must provide their own tables, chairs, and equipment.  Vendors are permitted to use their own tent or booth structure in their space as long as it fits in the space that has been rented.  Tents, tables, and chairs are available for rent for an additional fee. Vendors are responsible for pick up and return of tables and chairs unless otherwise arranged with Albuquerque Pride.

Electrical:
The locations from which power can be supplied are limited and are available on a first-come first-served basis only. See festival maps for location. Vendors are responsible for their own extension cords at their booth. An additional fee applies for 220v.  Vendors are responsible for covering and securing extension cords with tape or runners.

Rates:
Rental rates are on the application form. Please select the rate that best matches the business description. This is the basic booth fee.  Vendors that submit their completed application (including payment) by April 1, 2010, are eligible for a 20% discount on their booth and equipment rental fee. (Discount does not include Pride Fest tickets.)

Vendor Pride Tickets: Each vendor will be given four admission tickets to the Pride Festival as part of their space rental. Additional entry tickets must be purchased. Vendors have an opportunity to purchase additional tickets on the Vendor Application.

Trademarks: Albuquerque Pride reserves the exclusive right to the use of its logos, name, marks, symbols, and other intellectual property. Use of logos for any pride related event or advertising must be authorized.  Please let ABQ Pride know via e-mail. Any use of these logos without expressed written permission is a violation of the agreement with Albuquerque Pride.

Pets:
Friday, June 11th, pets will be allowed for the Pet Parade. If a pet bites, is aggressive, or does not get along well with others, the pet owner may be asked to leave with the animal. If a pet is removed from the grounds for the above mentioned behavior, the pet will not be allowed back for any reason. Only service related animals are allowed on the PrideFest grounds on Saturday, June 12th. Owners and their non-service related animals found on the grounds will be asked to leave.  If someone is asked to leave due to having a non-service animal, no refund will be issued.

Cancellations:
Vendor applications may be canceled at any time up until 5:00 p.m. on Tuesday, June 1, 2010. Refunds of all fees paid, minus a 20% processing fee, may be expected within four weeks following the event. CANCELLATIONS MADE AFTER 5:00 P.M. ON TUESDAY, June 1, 2010 WILL NOT BE REFUNDED. VENDOR “NO-SHOWS” ON THE DAY OF THE EVENT WILL NOT BE REFUNDED. Any assigned spaces not checked-in and occupied by the vendor by 10:30 a.m. on the day of the event will be subject to resale by Albuquerque Pride. Providing there is adequate additional space, the original vendor may be reassigned, but under no circumstances will a refund be made.

Payment:
Cash, checks, or credit cards (Pay Pal only) are acceptable.  Pay Pal payment can be made through the Pride website using Pay Pal. Checks are to be made out to Albuquerque Pride. Payment may be sent to Albuquerque Pride, PO Box 80506, Albuquerque, NM 87198-0506 or to the Pride office located at 2610 San Mateo Blvd, NE, Suite C, Albuquerque, NM 87110-3162. Office hours are located on the website at www.abqpride.com. No receipts will be issued, as the credit card statement or returned check will be the receipt. If the charge or check does not clear the bank, the vendor may be barred from participation on the day of the event; however, on the day of the event Albuquerque Pride will accept certified funds or cash. Full payment and all required information must be completed before the application is accepted. Incomplete applications will not be accepted, thus hindering eligibility for available spaces.

Guidelines:
Please carefully read these guidelines.  By electronic affirmation, the participant is agreeing by the terms in this document and fully agrees to abide by all its rules and deadlines.  When the vendors register at the event site, they will be asked to provide their signature verifying that they have reviewed these guidelines and are in full agreement with the stipulations contained herein.
